  • Overview

    Provide full administrative support to Chief Client Officer. Develop systematic approach to getting multiple tasks completed. Handle sensitive and/or confidential material and information appropriately. Must maintain a positive reflection on the title, the position and the agency.


    •  Manage complex calendar scheduling, reserves conference rooms, and set-up for meetings
    • Understand how to handle calls from high profile contacts in a poised and professional manner
    • Design and prepare materials
    • Issue call reports
    • Generate and assist in managing to do lists by providing organized reminders and calendar entries of key deliverables
    • Manages travel arrangements, submits travel and other business-related expenses for reimbursement
    • Prepares and/or proofs presentations and emails when required
    • Performs other general administrative/project management duties as assigned
    • Photocopying, distribution, filing, ordering offices supplies, faxing/mailing correspondence or packages, or other services. Knowledge of Horizon’s mailing and overnight companies.
    • Arranging catering needs for meetings
    • Plan, schedule and organize work
    • Maintain a positive work environment for employees as a team player
    • Opportunities to write communications
    • Assist in developing learning and training agendas internally as well as coordinate efforts for town halls and inspiration days
    • Able to correspond in the upmost professional manner with certain clients contacts on CCO’s behalf



    • BA/BS or prior administrative assistant experience for a senior-level executive          
    • Extremely organized and detail oriented while working in a fast-paced environment, sometimes under pressure
    • Able to successfully balance multiple priorities
    • Able to work outside of 9a-5p on occasion
    • Expert with Microsoft Office suite
    • Experience with Smart Sheet a plus
    • Able to handle confidential information with a high level of professionalism and discretion
    • Expert level written and verbal communication skills
    • Internet savvy
    • Great interpersonal skills Proactive, flexible and a strong decision-making ability
    • A positive, out-going and can-do attitude is a must
    • Strong communication skills
    • Consider being resourceful as one of your core competencies and able to trouble shoot problems when they arise with little to no supervision
    • Be proactive and able to forecast needs and requirements without being instructed
